The Wedding Vendor Timeline Every Couple Should Know
You booked your venue. You have your wedding date. Now the fun really begins.
You start looking at photographers, florists, DJs, planners, caterers and all of the other vendors that will help bring your wedding day together.
And then you realize something.
Everyone has a different answer for when you should book them.
One vendor says 18 months. Another says 12 months. Someone else tells you six months is plenty of time.
So what are you actually supposed to do?
The truth is, there isn't one perfect timeline for every wedding. Your date, location, guest count and the vendors you want all play a part.
But there are some good general guidelines that can help you avoid the stress of finding out your favorite vendor is already booked.
And if there is a vendor you already know you want, my best advice is simple:
Don't wait until the last minute to ask about your date.
Start With the Vendors That Matter Most to You
Before you worry about exactly when everything needs to be booked, think about your priorities.
What are the things you already know you want for your wedding?
Maybe you've been following a photographer for months and can't imagine anyone else capturing your day.
Maybe live music is important to you.
Maybe you've always dreamed of a certain florist.
Or maybe you want to create a cocktail hour your guests will actually remember, complete with a beautiful mobile charcuterie cart.
Those are the vendors I would look at first.
You don't have to book everyone at once. But if you know a particular vendor is important to you, check their availability early.
It is much easier to make a decision when you have options than when you're trying to find someone who is still available.
12 to 18+ Months Before Your Wedding
Start With the Vendors Who Book First
Once you have your date, start with the vendors who tend to book the furthest in advance.
- Venue
- Wedding planner or coordinator
- Photographer
- Videographer
- Caterer, if your venue does not provide one
Your venue and date are the starting point for everything else.
Once those are booked, you'll have a much clearer idea of what you need next and how much time you have to get it done.
And if you already have your heart set on a particular vendor, go ahead and reach out.
Even if you're not ready to book yet, knowing whether they're available can save you a lot of stress later.
9 to 12 Months Before Your Wedding
Start Thinking About the Guest Experience
Now you can start filling in the pieces that shape how your wedding will feel.
This is a good time to look at:
- DJ or live entertainment
- Florist
- Hair and makeup
- Rentals
- Transportation
- Specialty food and beverage vendors
And this is also when I would start paying attention to your cocktail hour.
Because cocktail hour isn't simply the time between your ceremony and reception.
It's where the celebration really starts to unfold.
During cocktail hour, your guests:
- Grab a drink and start settling into the celebration.
- Reconnect with friends and family they may not have seen in years.
- Discover the food you've thoughtfully chosen.
- Take in the details you've spent months planning.
- Start conversations and make new connections.
- Create some of their first memories of your wedding celebration.
It is one of the first opportunities your guests have to experience the atmosphere you've worked so hard to create.
So give it some thought before you get too far into the planning process.
6 to 9 Months Before Your Wedding
This Is a Good Time to Book Your Specialty Vendors
This is where vendors like a mobile charcuterie cart often come into the picture.
If you've decided that you want a mobile charcuterie cart for your cocktail hour, I would start checking availability around this time, if you haven't already.
Why?
Because specialty vendors have limited calendars too.
For a mobile charcuterie experience, there are also details that need to be planned before your wedding day.
- Your guest count matters.
- Your menu matters.
- Your cocktail hour timeline matters.
- Your venue setup matters.
- Your food preferences and overall wedding style can all play a part in creating the right experience.
Getting your vendor booked early gives you plenty of time to work through those details without feeling rushed.
And there is another benefit.
You can check this item off your list and know it's taken care of.
That's what a good wedding timeline should do. It should make things feel manageable, not make you feel like you're constantly behind.
3 to 6 Months Before Your Wedding
Now You Can Focus on the Details
By this point, most of your major vendors should be booked.
Now you're moving into the details.
You'll start finalizing things like:
- Guest count
- Menu selections
- Wedding timeline
- Rentals
- Signage
- Seating
- Vendor logistics
- Cocktail hour details
If you have a mobile charcuterie cart booked, this is when you'll start talking through the specifics.
What will be on the menu?
What works best for your guest count?
Where will the cart be placed?
How does it fit into the flow of cocktail hour?
What time does setup need to happen?
These are much easier conversations to have when you already know your vendor is secured.
Instead of wondering who might be available, you can focus on making the experience exactly what you want.
Some Arizona Wedding Dates Book Faster Than Others
Your wedding date can make a difference.
In Arizona, fall and spring are especially popular for weddings. Saturday dates tend to be in high demand, too.
Then you have holiday weekends and dates that are particularly popular with couples.
If you're getting married during a busy season, I would give yourself a little more time to book your favorite vendors.
This is especially true if there are vendors you already know you want.
Check their availability before you assume you have plenty of time.
A quick inquiry now can save you from having to rethink your plans later.
What Happens When You Wait Too Long?
Sometimes everything works out.
Your favorite photographer is available. Your florist has your date open. The DJ you wanted is free.
But sometimes you get the email you were hoping you wouldn't get.
"I'm already booked that date."
Now you have to start over.
Maybe you find another photographer you love. Maybe you don't.
Maybe your second-choice florist is perfectly wonderful.
But if you had a specific vendor in mind, having to settle for whoever is still available can take some of the excitement out of the process.
That's why I like to tell couples:
Don't build your wedding around what's left.
Figure out what matters most to you and give yourself enough time to find the right people.
A Simple Way to Decide What to Book First
If you're feeling overwhelmed by the number of decisions, make a short list.
Write down the vendors you know you really want.
Then ask yourself one question:
"Would I be disappointed if they weren't available on my wedding date?"
If the answer is yes, contact them.
- Find out their booking timeline.
- Check your date.
- Ask your questions.
- Then make your decision.
You don't have to book everyone the day you inquire.
You just need enough information to make a good decision without pressure.
And Don't Forget About the Guest Experience
Wedding planning naturally puts a lot of attention on how everything will look.
The flowers.
The tablescape.
The dress.
The cake.
The centerpieces.
And yes, those details matter.
But your guests don't experience your wedding as a collection of Pinterest images.
They experience it through moments.
They remember:
- The conversation with someone they hadn't seen in years.
- The drink they enjoyed while celebrating with friends.
- The food they discovered and couldn't stop talking about.
- The laughter shared around the cocktail table.
- The details that made the celebration feel uniquely yours.
- The connections they made throughout the evening.
- The feeling they had walking into your cocktail hour and realizing the celebration had truly begun.
That's what makes a wedding memorable.
And that's why your cocktail hour deserves to be planned with the same intention as every other part of your wedding.
Because beautiful details catch your guests' attention.
But experiences are what they remember.
